Getting started
Open ArtUp Ledger in your Shopify admin and follow the four setup steps: connect QuickBooks, choose how to record sales, check the accounts and items, then preview and start syncing. Nothing is written to QuickBooks until you start syncing.
Common problems
When an order or payout cannot be recorded, the app lists it under "Needs attention" with one of these explanations. After the fix, use "Fix and retry" where the app offers it.
Product not matched to a QuickBooks item
A product's SKU has no matching item in QuickBooks, so its line was posted to your default sales item. Totals and taxes are right; only the item breakdown is affected.
Fix, in the app: Map SKUs to items.
QuickBooks is disconnected
QuickBooks stopped accepting this app's access (the connection expired or was revoked). Syncing is paused until you reconnect; nothing is lost.
Fix, in the app: Reconnect QuickBooks.
Account or item missing in QuickBooks
A QuickBooks account or item the settings name doesn't exist (or is inactive), so the document wasn't posted. Choose another one or create it in QuickBooks.
Fix, in the app: Choose accounts and items.
Currency not turned on in QuickBooks
This document is in a currency your QuickBooks company can't take yet. Turn on multicurrency in QuickBooks (Settings → Account and settings → Advanced → Currency) and add the currency, then update the app's currency settings.
Fix, in the app: Update currency settings.
Document number already used in QuickBooks
QuickBooks already has a document with this number, so it was posted with a suffix (-2, -3…). If it keeps happening, another app or a person numbers documents the same way — change the number prefix.
Fix, in the app: Change the number prefix.
Payout waits for its orders
A Shopify payout is recorded only once every order in it is in QuickBooks, so the deposit matches your bank. It is checked every hour, and posted after 72 hours anyway with a note listing the missing orders.
Fix, in the app: See orders that need attention.
Waiting for payment
The order isn't paid in full yet. It is posted when Shopify marks it paid.
Fix, in the app: Back to the dashboard.
Order changed after it was posted
The order's amounts changed in Shopify after its document was posted. The app never rewrites a posted document — edit it in QuickBooks to match.
Fix: Open in QuickBooks.
The books are closed for this date
The document's date falls before the closing date set in QuickBooks. Move the closing date (Settings → Advanced → Accounting) or post the document by hand.
Fix: Open in QuickBooks.
Monthly order limit reached — Upgrade to continue
This order wasn't sent to QuickBooks because your plan's monthly order limit is reached. Nothing is lost: upgrade your plan, then retry the affected orders.
Fix, in the app: Upgrade plan.
Plans and billing
Plans are billed by Shopify, on your Shopify invoice. Paid plans start with a 14-day free trial.
- Free: $0 a month, up to 50 orders a month.
- Starter: $29 a month, up to 500 orders a month.
- Growth: $49 a month, up to 2,000 orders a month.
- Pro: $79 a month, up to 5,000 orders a month.
The app's dashboard shows how many orders were recorded this month against your plan.
Uninstalling
Uninstalling disconnects QuickBooks at once; the store's data is deleted 48 hours later. Documents already posted stay in your QuickBooks company. Details are in the Privacy Policy.
